
The Problem With QR Codes: Once It Is Printed, It Is Printed
A QR code is a permanent object pointing at something you might need to change, pause, or protect. Here is what goes wrong when the code holds the destination directly, and how a protected link fixes it.
The Code Is Permanent. Everything Behind It Is Not.
You print 500 flyers with a QR code on them. Two weeks later the WhatsApp group they point at fills up, or the event moves, or someone posts a photo of the flyer online and strangers start joining.
The flyers are already in people's hands. The code on them is a fixed pattern of black squares that encodes one string of text, forever. You cannot recall it, edit it, or ask it to stop.
This is the part of QR codes nobody warns you about. The code is not a link. It is a permanent physical copy of a link, and you made it at a moment when you could not know what the next month would look like.
What People Actually Encode, and Why It Hurts
Most QR codes are generated by pasting a destination into a free web tool and downloading the image. That destination is usually one of these:
A raw WhatsApp or Telegram invite. Now the invite link exists as an image, on paper, in photographs, in slide decks. Anyone can photograph it. Any scraper that indexes conference photos can read it. Invite links have been harvested this way for years, and revoking the invite breaks the flyer for everyone, including the people you printed it for.
A registration or ticket page. Fine until the event sells out, moves room, or gets rescheduled. The code keeps sending people to a page that is now wrong, and the only fix is to reprint.
A file or a folder. Someone shares the photo of your poster in a group chat, and your document now has an audience you never picked.
A long tracking URL. The code becomes visually dense, it needs more space, and it scans worse in bad light or at an angle. This is not aesthetic fussiness. Denser codes fail more often at the exact moment someone is standing in a crowded room trying to scan a poster from two metres away.
In every one of these cases the problem is the same. The code committed you to a decision permanently, and it gave you no way to change your mind afterwards.
The Third-Party Generator Problem
There is a second issue with the usual workflow, and it is quieter.
Free QR generators are free for a reason. Many of them do not encode your URL at all. They encode their short URL, which redirects to yours. That means:
- Your destination now depends on a company you have never spoken to staying online.
- Every scan is logged by that company, not by you.
- Some of these services move the redirect behind a paywall after a trial period, at which point your printed code stops working and there is nothing you can do about it.
If you cannot explain what the code actually contains, you do not control it. A code that goes through somebody else's redirect is a hostage, and you paid for the printing.
The Fix: Encode A Link You Still Own
A QR code cannot be changed. That is fixed and there is no way around it. So the only workable answer is to make sure the thing it points at is something you can still change.

Four Things Worth Doing With A Printed Code
1. Cap it before you print it.
If a poster is advertising 60 seats, set the visit limit to 60. Once the link is full it closes itself. It does not matter how many people photograph the poster afterwards, and it does not matter that the poster is still on the wall. A capped code cannot oversell you, which is the single most common way physical campaigns go wrong.
2. Give each print run its own link.
Same destination, different links. One for the conference banner, one for the flyers, one for the table cards. Now your analytics tell you which physical placement actually produced scans, broken down by country, city, device and whether the visitor verified as human. Most people have never been able to measure a poster before. This is how.
3. Put a password on anything that represents access.
Print the code. Say the password out loud in the room. The code and the secret travel by different routes, and only one of them can be photographed from three rows back. A photo of your slide is then worth nothing to somebody who was not there.
4. Set an expiry that matches the physical object.
A conference badge is relevant for three days. A seasonal menu for a quarter. Set the closing time when you create the link, not later, because later requires you to remember. A code that expires on schedule cannot be scanned into life again a year afterwards by somebody who found the flyer in a drawer.
What Scanning Tells You That Clicking Does Not
Because every scan passes through the same verification page as a click, the numbers you get are the numbers you actually wanted:
- Verified humans, counted separately from blocked attempts. A raw scan counter cannot tell a person from a camera app preloading the URL.
- City and country. Which is a genuinely useful signal for a physical campaign, because you know exactly where the poster was.
- Time of day. Sessions, talks, and shop opening hours all show up as shapes in the data.
- The comparison against your online channels. Same link tooling, same definitions, so a scan and a click are finally measurable against each other.
